Overview

Under the direction of the IT Vendor Manager:

 

  • Assist with all aspects of IT contract and vendor management prior to and through contract execution, including but not limited to vendor assessment, contract review and analysis and approval facilitation.
  • Oversee and mentor the staff who conduct IT Purchasing activities.
  • Supervise and support the activities of the IT Purchasing team, including the ongoing management and enhancement of processes and tools that ensure IT purchases are timely made in accordance with established practices and standards.   
  • Support related IT Administrative functions, as needed, at the direction of IT Vendor Manager.
  • Conduct IT Project Management duties, as assigned. 

Responsibilities

  • Supervise and support the activities of the IT Purchasing team, including the ongoing management and enhancement of processes and tools that ensure IT purchases are timely made in accordance with established practices and standards.  
  • Monitor all purchase request activity to ensure all potential issues are addressed and escalated to management, as necessary.
  • Prepare and provide reporting on IT purchases, as requested by the IT Vendor Manager, to identify trends and monitor team key performance indicators.
  • Mentor and provide guidance to members of the IT Purchasing team, with a focus on growth and career development.
  • Assist with all aspects of IT contract and vendor management prior to and through contract execution, including but not limited to vendor assessment, contract review and analysis and approval facilitation.
  • Review proposed IT contracts prior to execution (including master agreements, license agreements, SOW’s and amendments) to ensure cross-reference against existing vendor portfolio, identify and mitigate potential risks, and to ensure that all clauses are in accordance with established standards and best practices.
  • With guidance from and approval by the IT Vendor Manager and Legal, draft contract language recommendations and miscellaneous documents in support of new and in-force vendor relationships.
  • Serve as a liaison between IT vendors and internal parties (such as Global Procurement, IT Purchasing, Legal, business/service owners, and various subject matter experts) to facilitate IT contract review, negotiation and/or issue resolution.
  • Facilitate the approval of all IT contracts (including the development of executive contract summaries) to ensure IT contract execution is in accordance with company policy.
  • Collaborate with the IT Vendor Analyst to ensure all executed contracts are logged in the designated IT contract management platform.
  • Upon request, assist the IT Vendor Manager and/or IT Vendor Analyst in the researching and responding to contract related inquiries posed by vendors, service owners and management.
  • Support the Global Procurement team, as necessary, in efforts designed to reduce costs or consolidate vendors.
  • Conduct project management duties, as assigned, with potential for presentations on data to internal clients and management.
  • Assist with documentation of best practice policies and procedures. Seeks out and recommends process improvements to maximize efficiency of operation.
  • Provide routine administrative support, upon request.

Qualifications

  • College degree required.
  • Bachelor’s degree preferred.
  • Supervisory experience required, with proven success in managing and developing resources in a corporate environment.
  • Proven experience in contract review, analysis and management required, with ability to review, interpret and analyze complex contract terms.
  • 5-7 years of relevant/qualified experience in purchasing, vendor management, contract management, legal services or applicable discipline required.
  • Experience in Information Technology, Finance and/or Insurance preferred.
  • Experience managing and developing a team, with ability to lead and motivate peers.
  • Ability to form strong relationships across the organization.
  • Customer service focused, with good communication and presentation skills; experience communicating and presenting complex information at every organizational level.
  • Proven negotiation skills.
  • Strong attention to detail, with an ability to spot errors and inconsistencies.
  • Excellent reading and language comprehension skills.
  • Good analytic skills, with ability to see “big picture”.
  • Desire to collaborate/work as part of a team.
  • Ability to work in fast-paced environment and balance multiple priorities.
  • Ability to rely on experience and judgment to plan and accomplish goals.
  • Flexibility to assist with and conduct ad hoc tasks as needed to support team success.
  • Quick learner; experienced working within various software platforms (e.g. CRM, contract management, incident management, etc.)
  • Experience with the Microsoft Office Suite, with strong working knowledge of Microsoft Excel, Word and Power Point applications.
